Media Services Booking Terms

These Media Services Booking Terms apply to photography, video clip, event media, artist content, brand content, merch visual, and related media services booked through Colee.one. Merchandise and print-on-demand product orders are governed by the separate Terms & Conditions and Shipping & Returns pages.

Colee.one is operated by Brady Colee and Layne Beaton. Brady is based in Denver, Colorado. Careless Castle is rooted in Southern California.

Quotes and Scope

Each project may be based on a written quote, invoice, email confirmation, message thread, contract, or other written agreement. The project scope may include event coverage, edited photo delivery, short-form video clips, artist content, brand content, merch visuals, recap edits, consulting, or related services.

Only the services, deliverables, usage rights, dates, hours, locations, and revisions specifically included in the written quote or agreement are included. Additional coverage, edits, revisions, travel, rush delivery, licensing, or deliverables may require an additional fee.

Booking and Payment

A booking is not confirmed until Colee.one accepts the project and any required deposit, retainer, or payment is received. Payment terms may vary by project. Unless otherwise stated in writing, final deliverables may be withheld until required payments are received.

Deposits and Retainers

Deposits or retainers may be required to reserve a date, begin pre-production, hold project time, or secure availability. A deposit or retainer is non-refundable only when the applicable quote, invoice, contract, or other written booking confirmation states that condition.

Cancellation and Rescheduling

Cancellation and rescheduling terms may vary by project. If a client cancels, postpones, changes access, changes location, changes schedule, or materially changes the project scope, additional fees may apply when stated in the applicable agreement. Colee.one will make reasonable efforts to accommodate rescheduling when possible, but availability is not guaranteed.

Travel and Access

Clients are responsible for providing accurate event information, access details, credentials, parking instructions, set times, venue rules, security requirements, and any permissions needed for Colee.one to perform the work. Travel, lodging, parking, credentials, media passes, and related expenses may be billed separately unless included in the written quote.

Venue, Artist, and Event Restrictions

Colee.one is not responsible for missed shots, limited coverage, reduced deliverables, or inability to perform caused by venue restrictions, artist restrictions, security limitations, credential issues, denied access, unsafe conditions, weather, schedule changes, lighting restrictions, crowd control, equipment rules, or circumstances outside Colee.one's control.

No Guaranteed Specific Shots

Colee.one will use professional judgment to capture the project based on the agreed scope, environment, timing, and access. Specific shots, people, moments, angles, lighting, crowd reactions, artist actions, or event outcomes cannot be guaranteed unless expressly agreed in writing.

Photo Deliverables

Edited image galleries are delivered as final exported files. RAW photo files are not included. Image count, delivery format, delivery method, editing style, and delivery timeline may vary by project and should be defined in the quote or agreement.

Short-Form Video Clips

Short-form video clips are lightly edited, color-adjusted vertical or horizontal clips exported for social use. These are separate from full recap edits, long-form edits, or advanced post-production unless specifically included in a quote or agreement. RAW camera files are not included.

Recap Edits and Advanced Editing

Full recap videos, advanced edits, complex sound design, heavy color work, revisions, motion graphics, captions, vertical cutdowns, multi-camera edits, or additional versions are included only if stated in the quote or agreement. Additional edits or revisions may require additional fees.

Delivery Timelines

Delivery timelines are estimates unless expressly guaranteed in writing. Delivery may be affected by project size, event schedule, client feedback, payment status, revision requests, technical issues, travel, illness, emergencies, or other circumstances outside Colee.one's control.

Client Usage Rights

Unless otherwise stated in writing, clients receive a limited license to use delivered final exports for organic social media, portfolio, press, and promotional use connected to the booked project. Paid advertising, merchandise, resale, commercial licensing, third-party brand campaigns, or expanded usage may require a separate written license.

Copyright and Ownership

Unless otherwise agreed in writing, Colee.one retains copyright and ownership of photographs, video clips, edits, project files, and creative materials created by Colee.one. Clients receive only the usage rights expressly granted in the quote, agreement, or written license.

Portfolio Use

Unless otherwise agreed in writing, Colee.one may display delivered work, behind-the-scenes content, project names, event names, artist names, venue names, or selected project materials for portfolio, website, social media, promotional, and marketing purposes, subject to applicable permissions and third-party rights.

Releases and Permissions

Clients are responsible for obtaining any required permissions, releases, clearances, venue approvals, artist approvals, brand approvals, property permissions, music rights, or third-party rights needed for the client's intended use of the deliverables. Colee.one is not responsible for a client's unauthorized use of delivered materials.

Archive and File Storage

Colee.one may choose to archive project files, but long-term storage is not guaranteed unless agreed in writing. Clients should download and back up final deliverables promptly after delivery.

Independent Contractor

Colee.one provides services as an independent contractor. Nothing in these Booking Terms creates an employment relationship, partnership, joint venture, or agency relationship between the client and Colee.one unless expressly stated in a separate written agreement.

Limitation of Liability

To the fullest extent permitted by law, Colee.one, Brady Colee, Layne Beaton, and related service providers will not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages, or for lost profits, lost opportunities, lost data, business interruption, or similar damages. Colee.one's total liability for a project will not exceed the amount paid by the client for that specific project unless applicable law requires otherwise.

Changes to These Terms

Colee.one may update these Booking Terms from time to time. Updated terms apply to future bookings unless a project-specific written agreement or applicable law provides otherwise.
